Cancellation and Payment Policy

Applicable to: Visits, tastings, food and wine experiences, and all other Soalheiro wine tourism activities

1. Bookings

All visits and experiences are subject to prior booking and availability.

A booking is considered confirmed once the required information has been received and, where applicable, the corresponding payment or booking guarantee has been provided.

The final number of participants must be communicated by the customer within the deadline specified for each experience.

Specific booking conditions may apply to groups, agencies, tour operators and private experiences.

2. Cancellation Policy

Cancellation notice	Condition
More than 72 hours	Cancellation without penalty or change of date, subject to availability.
Between 48 and 72 hours	Change of date without penalty, subject to availability. Refunds will be issued in accordance with the booking conditions.
Between 24 and 48 hours	A cancellation fee of 50% of the booking value may apply.
Less than 24 hours	100% of the booking value will be charged.
No-show	100% of the booking value will be charged.

Requests for cancellations or changes must be submitted in writing via the contact details provided in the booking confirmation.

3. Changes of Date

Whenever possible, Soalheiro will endeavour to accommodate requests to change the date of a visit.

All changes are subject to availability and may not be possible during periods of high demand.

Where a change is requested within a period subject to a cancellation fee, the corresponding cancellation conditions may apply.

4. Reduction in the Number of Participants

Any reduction in the number of participants must be communicated in advance.

Where the reduction occurs:

More than 48 hours in advance: no penalty;
Between 24 and 48 hours in advance: a 50% charge may apply to the cancelled places;
Less than 24 hours in advance or on the day: the reserved places may be charged in full.

Different conditions may apply to groups and private bookings.

5. Late Arrivals

Guests are advised to arrive at Soalheiro 10 minutes before the scheduled booking time.

In the event of a late arrival, the team will endeavour to adapt the experience whenever operationally possible.

Arrivals more than 30 minutes late may result in the experience being shortened or altered, without entitlement to a refund, where it is no longer possible to provide the experience as originally booked.

6. Age-Based Pricing

For pricing purposes, the participant's age on the date of the visit will apply.

Age group	Condition
0–5 years	Free of charge, except for experiences involving a specific food or activity cost.
6–12 years	Child rate, generally 50% of the adult rate.
13–17 years	Young person rate, defined according to the experience, with no wine consumption.
18 years and over	Adult rate.

Child and young person rates include only those elements of the experience that are appropriate for the participant's age.

7. Wine Tastings

Wine tastings are exclusively available to participants aged 18 years and over.

Participants under the age of 18 may accompany the visit where permitted by the experience, and a non-alcoholic alternative will be provided where applicable.

Soalheiro reserves the right to request proof of age whenever necessary.

8. Children and Families

Children are welcome to take part in experiences where their participation is compatible with the programme.

The availability of a child rate does not necessarily mean that all elements of the experience are available to children.

Experiences involving meals, food and wine pairings or specific activities may have specific rates for children and young people, as stated in the description of each experience.

9. Travel Agencies and Tour Operators

Bookings made through travel agencies, tour operators or commercial partners are subject to the commercial terms previously agreed with Soalheiro.

Rates, commissions, payment deadlines, cancellation policies and group conditions applicable to partners may differ from those applicable to individual customers.

Agency rates cannot be combined with other promotions or discounts, unless expressly stated otherwise by Soalheiro.

10. Groups and Private Bookings

For groups, private events and bespoke experiences, Soalheiro may establish:

a minimum number of participants;
advance payment;
a specific deadline for confirmation of the final number of participants;
specific cancellation conditions;
a specific rate.

These conditions will be communicated at the time the booking is confirmed.

11. Cancellation by Soalheiro

Soalheiro may alter or cancel a visit or experience due to force majeure, weather conditions, safety concerns, operational reasons or other circumstances that prevent the activity from taking place as planned.

Whenever possible, an alternative date will be offered.

Where it is not possible to provide the experience or offer a suitable alternative, the amount paid for the cancelled experience will be refunded.

12. Acceptance of Terms

By making a booking, the customer accepts this policy.

Any specific conditions presented at the time of booking will take precedence where they differ from these general conditions.
